- Apply for financing through our lender partners — including financial information collected and processed directly by the lender (Aegis does not retain Social Security numbers or full financial application data)
- Receive service or installation from us — including service history, equipment details, work performed, photos of the installation, and payment information
- Subscribe to email communications — including your email address and any preferences you provide
- Leave a review or testimonial — including your name (or initials), city, the review content, and any photos you choose to share

Service Providers
We share information with third-party service providers who help us operate our business, including:
- Lender partners — Synchrony Bank, Service Finance Company, or other lenders we partner with for financing applications you initiate
- Payment processors — Stripe and Square for credit card, debit card, and ACH transactions
- Equipment manufacturers — for warranty registration on systems we install
- Utility companies — for rebate filing on your behalf (Rocky Mountain Power, Dominion Energy)
- Website hosting, email, and analytics providers — Google Analytics 4 (website analytics), Google Workspace (email and calendar), WP Engine (website hosting), Mailchimp (email marketing)
- Dispatch and field service software — Housecall Pro for scheduling, dispatch, customer records, invoicing, and post-job follow-up
- Accounting and bookkeeping — QuickBooks Online for accounting and payroll, with bookkeeping support from a local CPA firm under a confidentiality agreement
These service providers are contractually obligated to use your information only for the purposes for which we share it with them.
Legal Requirements
We may disclose your information if required to do so by law or in the good-faith belief that such action is necessary to:
- Comply with a legal obligation, subpoena, court order, or government request
- Protect and defend the rights or property of Aegis Heating and Air

4. Your Privacy Rights (Utah Consumer Privacy Act)
Utah residents have rights under the Utah Consumer Privacy Act (UCPA), effective December 31, 2023. These rights include:
- Right to know — confirm whether we are processing your personal data and access that data
- Right to delete — request deletion of personal data you provided to us
- Right to data portability — receive a copy of your personal data in a portable format

We will respond within 45 days, with one possible 45-day extension if needed and if we notify you of the extension. There is no fee to exercise these rights once per year; additional requests may incur a reasonable administrative fee.
If we deny your request, you may appeal by replying to our denial notice. We will respond to your appeal within 60 days.
Residents of other states with comprehensive privacy laws (California, Colorado, Connecticut, Virginia, and others) have similar rights under their respective state laws. Contact us using the same methods above and we will honor applicable state-law rights to the extent required.

Do Not Track signals: Our website does not currently respond to Do Not Track browser signals because no universal standard for honoring those signals has been established.
6. Data Security

These include encrypted connections (HTTPS) on our website, access controls limiting which employees can view customer data, and secure transmission of financing applications directly to lender portals.
No method of transmission over the internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security. If we become aware of a data breach affecting your personal information, we will notify you and applicable authorities as required by Utah law and other applicable laws.
7. Data Retention
We retain personal information only as long as needed to fulfill the purposes for which it was collected, comply with our legal obligations, resolve disputes, and enforce our agreements. Typical retention periods include:
- Service and installation records: Retained for the life of the equipment plus 7 years, to support warranty claims and tax records
- Payment records: Retained for 7 years as required by tax and financial recordkeeping rules
- Contact form submissions: Retained for 2 years from the date of submission, or longer if you become a customer
- Email marketing subscribers: Retained until you unsubscribe, after which we retain only the minimum necessary to honor your opt-out (your email on a suppression list)
- Website analytics data: Aggregated and retained per Google Analytics default retention settings
When information is no longer needed, we securely delete or anonymize it.
8. Children’s Privacy
Our services and website are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13 without verifiable parental consent, we will delete it. You can opt out of text messages at any time by replying STOP to any message we send. You can also request help by replying HELP. We will not share your phone number with third parties for their marketing purposes.

Our website may contain links to third-party websites (lender application portals, manufacturer warranty pages, utility rebate forms, our social media profiles). We are not responsible for the privacy practices or content of those third-party sites. We encourage you to read the privacy policies of any third-party site you visit.
